Terms and Conditions

My Cosplay Commission Policy

This is my cosplay and clothing commission policy. Please see my separate page regarding art commissions.

 

This policy is in place to prevent me being scammed. It covers anything to do with payments, shipping, damage, lost items, providing credit to me, claiming this work as your own, use of images in my portfolio/Instagram, work in progress and the like. If you disagree with anything here, please do not commission me.

I know this can look quite intimidating, but it boils down to this: I will not commence/continue work without payment, and as this is custom bespoke work, you are not entitled to refunds and returns (this is because the commission is completely bespoke to you in sizing, and in design elements, and I could not resell it due to this). It also covers that if you receive the item and find a fault, you must let me know as soon as you see this so I can address that on a case by case basis. I also politely ask that people provide me credit for my work, as you would a photographer, or if you bought a costume from DokiDoki or another company!

PLEASE READ THIS POLICY TO THE END, AND AGREE TO THE TERMS BELOW. IT APPLIES TO ALL CUSTOM ORDERS.

1. DEPOSIT. All commissions will have an initial deposit that is to be paid before I begin any work on your order. This is a minimum 50% of the total price, but may vary for more complex costumes. This deposit is non-refundable, and is designed to cover the base cost of materials required for your costume, and my labour. If you decide to cancel after this payment, but before crafting has begun, half of this will be held as a cancellation fee/to cover the labour I have already put into your commission, but you may choose to have the base materials I have purchased already sent to you. I will not purchase further items, and I will refund the remaining cost of base materials that I have not purchased. In this case, you will be responsible for the shipping fee to get these materials to you.

Example: If your commission's initial deposit is £500, and you cancel this before I begin work, £250 will be the non-refundable cancellation cost to cover the labour costs I have already put into the costume e.g. in sourcing materials, drafting designs, planning the commission, as a few examples. If the base material cost was £200, and I had already bought £150 of materials, I could refund £50 to you, and the £150 of materials purchased could be mailed to you if you paid for the shipping to do this. I cannot ship the materials if this is not paid for. Thus in this situation, you would receive the £150 worth of materials (and pay the shipping), and a £50 refund. I would refund an additional £50 as this is the remainder after the base material costs and labour fees. You would then not make the subsequent planned payments and I would not complete your commission.

As a further warning, if I have begun crafting in any form- such as in patterning, this payment is completely non-refundable in any form, even in the sending of purchased materials to you. I may make some discretion with this depending on the labour I have put into crafting, but less money will be refunded in this case as I will need to cover the work I have already done for you. I WILL OFTEN BEGIN CRAFTING AS SOON AS A PAYMENT IS MADE. IF YOU ARE UNSURE OF IF YOU WISH TO PROCEED WITH A COMMISSION, OR THAT YOU WILL BE UNABLE TO PAY THE FULL AMOUNT, PLEASE DO NOT AGREE TO THE COMMISSION.

Further payments of 25% respectively are expected when I am halfway through crafting, and when I have finished the costume (but before it is shipped). The final payment will also have shipping costs added to it when this has been discussed, and I will not ship until this is all paid in full. I will give you a rough idea of when payments are due as per your deadline, but please bear in mind that this may not be exact. If I finish earlier than the deadline, you may opt to pay on the deadline instead, but I will not ship until payment has been made regardless.

Further to this, the above also applies if you decide to pay 75% up front, and 25% upon completion instead.

Point 2. Cancellations, is also relevant to the above.

 

2. CANCELLATIONS. Cancellations are only possible before work has begun on the costume. If the deposit has been paid, and work has not been started, the above point on deposits applies. All custom made items are final sale items. As these are completely bespoke, refunds and cancellations are not viable unless the item you receive is faulty. You may not cancel or change your order once work has been started due to the intensive labour taking commissions involves. Further alterations will be at an additional cost, where there is more information below.

 

Upon a cancellation when I have started working on the commission, remaining balances are expected to be paid. Please see below regarding non-payment.

In very very rare circumstances, I have the right to cancel your order. This will only ever be done as a last resort when I have an emergency. At first, I will discuss the possibility of pushing the deadline of your costume back, but if this is not suitable, and I am the one who cancels, I will refund you completely.

 

3. NONPAYMENT. If you agree to a commission, I will not commence work on your project until the deposit has been paid. If this is not paid within 2 weeks of agreeing to the pricing, agreeing to the terms and confirming you wish to proceed with the commission, I will mark your commission as not going forward and you will lose your place in my commission slots.

If the deposit is paid, and I begin work, you will NOT receive a refund as per the above. If the subsequent payments are not made within 2 weeks of requesting any payments, I will mark your order as "abandoned" and you will lose any claim of ownership on that item or previous payments. If it is a rush commission or I have a short deadline, this payment will have to be made within a week! Please if you have concerns over payment, email me as soon as possible. I'm a reasonable human who will work with you!

 

I will send invoices via email, and will make an attempt to chase these up before marking anything as abandoned. Please, please keep an eye on your emails constantly.

 

4. ALTERATIONS TO ORDER. Alterations are only possible if work has not been started, base materials have not been purchased, and if there if sufficient time for the alterations to be completed to the specified deadline.

I will not alter commissions to an entirely different costume if I have begun crafting. If you would like a different costume, the above applies in that it is only possible if I have not begun work, and the altered costume is of a similar, or higher value. In the case of a higher value costume, new costs will be calculated and you will be required to agree to these for work to commence. Additionally, if new materials need to be purchased, you will be liable to provide payment for these. As these are custom pieces, I am happy to incorporate whatever design features that you like, but these need to be discussed at the start of the commissioning process. I will check this with you prior to beginning work.

 

5. DAMAGED GOODS. I ensure all packages are insured before I send them, and sent with a high priority. I also photograph and record my packing process. If your package arrives damaged, please make sure that you IMMEDIATELY take photographs/videos of any box damage BEFORE you open it, as otherwise this can be taken as you causing the  damage and I'm unsure how that would work with an insurance claim. After taking images of the unopened box, please ALSO FILM YOU OPENING IT, AND OF ANY DAMAGE, and take images of the inside of the box and any damage on the commission. These videos must be clear and in good light, and please fully document any damage. Please send me these images, and any other information within 2 days of you receiving the parcel. If you do not do this, I will be unable to help process a partial refund. In these cases if you wish to ask for a refund, I will refund what I can through the insurance claim, supported by the images you take.

Please be aware that depending on your location, you may also be responsible for filing claims for your item.

Please also let me know as soon as possible if there is something faulty with your commission. I will fully photograph the items before I send them to you, and check for any faults/record this process before mailing it to you.

I am also happy to repair damaged goods that have been damaged in transit, but you will need to cover shipping costs, as well as any customs or import taxes.

Damage from wear and tear/use of the cosplay is NOT COUNTED AS DAMAGE.

 

6. LOST PACKAGES. I ship items with insurance coverage, and requiring a signature. If these options are not available, I will discuss with you prior to shipping your item in case you wish to opt for a different courier- which may alter the price of shipping. I endeavour to ensure all my items are also sent tracked, so please check on this so you can ensure you are available for the delivery. In this unfortunate case, we would be looking for compensation from the courier for the loss. An item will only be considered lost if the shipping company loses the commission. If the package has been stolen from you, I unfortunately cannot refund this. I am also not liable if the courier delivers the package, but does not ask for a signature at their own discretion. It is your responsibility to ensure someone is available to collect your delivery, or alternatively, we can discuss sending the package instead to a parcel delivery point. If this is done so, you are responsible for collecting your parcel.

 

7. INCORRECT SIZING. All items are made to the sizing you provide, and I am not responsible for incorrect sizing based on the measurements you have given. Prior to shipping, I will photograph and double-check my measurements against your request. Please bear in mind there might be a slight discrepancy, normally by a few centimetres, so the item is wearable! If it was made exactly to your body size, some items would be too tight and not wearable.

If you have provided me with the wrong measurements, I am happy to alter your cosplay, but this will be with an alteration fee, plus any additional shipping costs associated with this process.

If I have made an error in sizing, I'm happy to rectify this free of charge for you! I just ask that you pay the return shipping/import costs, and I will ship it back to you free of charge (but you may need to tackle any customs/import taxes in this case).

I am not also liable for any changes in your dress size between the beginning of the commission, and you receiving the final product. There can be long wait times between these periods. If your size does change I am happy to alter the costume, but this will have to be at your expense. There will be a new fee, and completion date to accommodate this extra work. I will also double check your measurements as I begin to create patterns to minimise this risk. If you have a preference in sizing, such as wanting an item to be baggier, please let me know when you fill in my commission form.

 

8. WORK IN PROGRESS. I am happy to speak with you about the progress of your order, within reason. I will not provide constant progress photos, but am happy to provide some as I work through the costume to show you how it's coming along. I do not provide constant images to help prevent people claiming my work as their own. I may contact you with questions regarding the costume- such as fabric colour or detailing. Please do contact me with reminders if you feel I have forgotten your order, particularly when you are expecting it to be shipped. Please also be aware that there can be delays on a costume owing to delays in me receiving base materials, or delays with the delivery. If have a personal emergency that may impact your order- I will contact you to discuss as soon as possible.

9. CREDIT. A condition of this commission process is that you MUST provide credit for the costume. If you post images of the costume, or of you/someone else wearing the costume, YOU ARE RESPONSIBLE FOR CREDITING ME. Please include a link to my Instagram or Website within any of your posts, and feel free to tag me too! I also love seeing the costumes being worn!

This is as a lot of my work will come through people crediting my work! You may not claim the work on the costume as your own.

I have the right to use images of the costume as reference for my portfolio, or listings of items similar to these costume. Any progress images I take, or images of the finished commission on a mannequin, or images of a similar ilk, are within my right to use.

If this image is of you wearing the costume, I will always speak to you prior to using it, and will likewise provide credit to both you and the photographer. I will not use photos of you actually wearing the cosplay without permission.

By agreeing to this policy, you agree to my right to use images I take for my costume listings and work portfolio.

10. COSPLAY MASQUERADES. You are more than welcome to wear your costume during masquerades or walk-on shows, as long as these are not judged. You will not wear the costume to a competition that judges crafting, and you will not claim the work as your own. Not only is this bad practice generally, it's disallowed in competitions! This does not apply if a competition is only judging performance, and not crafting.

 

11. DEADLINES. I work with a set of commission slots, and these slots will open as I complete work. When we agree to work on a commission, I will discuss with you the deadline, which will vary with the complexity of the cosplay. I usually will NOT consider "rushing" a cosplay for a closer deadline. I need time to ensure the quality of your cosplay, which generally will range from 2 months to 6+ months depending on how complex the outfit is. It is your responsibility to commission me with enough time before you require an outfit. In an emergency, I may discuss extending deadlines with you as a last resort, but this is not a common occurrence.

If I miss a deadline, this is not a cancellation and is not liable for a refund. This is particularly if you cause this through not communicating information I need, such as measurements, opinions on fabric and the like. I request that you check for communication from me frequently. If the missed deadline is my fault, I will discuss this with you and come to a solution.

 

12. DAMAGES FROM WEAR. I am not liable for any damages incurred after you receive and wear/use the item. There will be instructions for care and storage, and it is advised that you take care of your cosplay as if it is fragile.

 

13. ONCE AN ORDER IS SHIPPED. Shipped costumes are no longer my responsibility, and I cannot directly help with any issues that arise with the shipping company. There can be delays, difficulties with customs, and there can be issues with where the courier leaves the parcel. I am not liable for these, particularly for international orders. I will ensure all packages are in good order as they are shipped, and will not ship without prior approval from you as a client. It is advised that you keep a close eye on your shipping, and ensure you are available for delivery.

14. ANY RETURN SHIPPING. As mentioned above, if a costume needs to be shipped back for repairs or alterations, shipping to myself, and back to you, is liable to be paid by you unless otherwise specified. You must send packages with tracking, and if you do not, any losses are your responsibility. Further damages incurred during transit are also your responsibility.

 

15. OWNERSHIP. You will own the physical cosplay that you have commissioned once you have paid the invoice in full. However you do not own the right to claiming my work as your own. This also includes any patterns I make for your cosplay, any of my logos/brand, any of my labels and tags.

You also do not own the right to me singularly making that costume- other people may commission the same outfit.

 

If you do not pay your invoice in full within the agreed time frame, I will consider the commission cancelled and you will not be mailed your commission.

Any violation of these terms will result to you being placed on a blacklist for commissions at minimum.
